We are looking for an Operations Assistant with proven skills, to join the support function of our multi award-winning company!

Position Overview

The Operations Assistant forms part of our sales support team helping to ensure our business runs smoothly! This role supports the Operations Executive in underpinning the entire sales function and forms a critical part of making sure our own people can provide, and that our customers receive, the best possible service from our brands. This role will be supported across the business and is a key role that you can continue to develop upwards in. We want you to grow with us!

Main Tasks

·Complete placement compliance & forms
·Send out extensions/confirmations to candidates and clients and amend F/Cast Sheet
·Printouts and binding for all documentation
·Arrange and coordinate events, and internal incentives as agreed by directors
·Ordering all supplies
·Ensure the office environment is in line with agreed standards, including the management of suppliers
·Manage Directors diary, book and prepare for meetings as requested, as well as manage ad-hoc tasks and assisting with admin tasks
·Provide support and cover to Financial Executive and other support staff when required
·Monitor staff attendance and manage all HR requests via the Oracle and provide updates to payroll
·Onboarding (new starter pack, IT access, building pass, all relevant documentation, book monthly and probation reviews)
·Book & manage monthly training sessions

Requirements

·Experience of working in a similar sales support environment.
·Strong working knowledge of Microsoft packages, specifically Word, Excel & Powerpoint.
·Can use CRM (or similar) reporting systems effectively.
·Must be highly organised!
·Naturally high attention to detail and ensures accuracy in delivery.
·To be able to prioritise tasks and reliably meets deadlines.
·Must have experience in supporting senior stakeholders.
·Can manage senior stakeholders diaries.
·Can build rapport and manage expectations across a diverse level of stakeholders.
·Manages sensitive information with the utmost discretion.
